National Diploma (NQF 6) in Office Management and Technology / Public Management or relevant equivalent qualification recognised by SAQA. A minimum of (one) 1 year experience in office administration or relevant field. Sound knowledge of Administrative or clerical procedures, financial management, project management. Knowledge of Batho Pele principles, public service, Department procedures and prescripts. Sufficient knowledge of specific computer software packages and efficient use of associated hardware. Provide logistical support services. Arrange meetings and make booking for conferences and workshops, make travel arrangements for the officials within the WB and Consolidate travel plans. Provide administrative support. Assist in compiling documents in preparation for Quality Assurance visits to projects, liaise with implementers and provincial colleagues regarding quality assurance, assist in the compilation of all project documents for Business Plan Evaluation during the planning phase and Preparing files for submission for approval. Maintain and oversee the filing system. Open new files for newly approved projects, source project supporting documents for filing, maintenance of the filing system. Provide financial administration support. Identify resource needs for the WB, ensure that funds are available for procurement of goods and services, procurement of goods and services using approved procedures, prepare quarterly procurement reports for the WB, ensure that correct and acceptable quality and quantities are delivered as per the order and ensure that orders are created, and invoices are paid timeously. Provide inventory support. Maintain the WB’s asset register, facilitate procurement of PPE, stationery and laptops, advise officials to complete VA7 forms.
